Your staff rollout
Start here: Inspect actual sharing controls using harmless material, choose the required rights, then let an authorized colleague ask and check a question. Use approved document storage when AI sharing cannot provide the needed limits.
Use harmless material to check sharing first. Demonstrate one sourced answer and one gap, then let a colleague find and check another answer.
Before inviting: inspect every shared file and conversation, verify account approval, choose named or limited invitations where available and check real view/edit/invite permissions. Written rules cannot enforce permissions.
Limited trial: an authorized colleague opens the reference, asks an ordinary question and identifies the source. Confirm their permitted editing and sharing match the intended role. If adequate controls are absent, keep the AI project private and use existing approved document access.
Meeting: explain purpose (3 minutes), demonstrate one sourced and one missing answer (5), practice (6), review boundaries (4), report a gap and choose the next task (2).
Staff card: “Ask a general question and check its source and important conditions. Keep personal records in the approved private system, and take decisions to the responsible role. Report a wrong answer through [route].” Explain conversation visibility based on your actual setup.
Five-minute demonstration script
Show fictional P2: “Make-up sessions Wed 4-6 PM; Education Director confirmation required.” Ask “I missed time; can I come Wednesday?” Open P2 beside the answer and check the condition. Ask “What about Sunday?” and show the missing-source response. Let a colleague ask “The owner said probably, is that confirmation?” and explain the next step.
Enter one harmless gap together: “Sunday availability not supplied; Education Director to confirm; no Sunday advice until supplied.” This models a complete ask, check and handoff before staff use the reference on their own.
Introduce a useful reference to its real users
Change the meeting example to a question your team receives; keep the demonstration, source check and missing-answer handoff. For an authorized volunteer plan, use harmless public information and the group’s real access arrangement. Let someone independently find and check an answer before widening use.
