Turn a checked item into a useful readiness note
Start here: Use the fictional approved hours and desk-sheet mismatch below. Ask for a work note, check which copy needs attention and leave replacement pending until somebody inspects the real changed copy.
Use a requirement whose applicability your qualified representative has confirmed. Inspect the real evidence in its restricted location; give AI only approved nonpersonal observations to organize.
Fictional internal practice, not a legal requirement:
P1 says the desk sheet must show current approved clinic hours.
Approved v2 says Tue/Thu 10 AM-3 PM. The sheet inspected at the
front desk is v1, Mon-Fri 9 AM-5 PM. The clinic lead confirms hours;
Operations replaces desk copies. No follow-up date is agreed.
Draft a short note: requirement, evidence inspected, gap, responsible
role and next step. Do not claim a replacement or invent a deadline.
The gap is the actual outdated desk copy. After confirmation and replacement, inspect the new copy before marking this item checked. Keep other items unresolved until someone checks them; this one exercise cannot establish overall readiness.
Use your normal review calendar. An optional AI reminder can be stopped without cancelling any underlying school obligation.
