# 18. Your reference access and recovery check

Use [the staff sharing walkthrough](https://cowanworks.com/aicourse/learn/course-2/lesson-18). Inspect permissions without sending a real invitation during practice.

| Person's job | Minimum suitable access to look for | Extra access to question |
| --- | --- | --- |
| Read the current checklist | Approved reference view | Source editing or inviting other people |
| Maintain the checklist | Editing this approved source | Access to unrelated personnel or applicant records |
| Receive a single answer | Checked answer in the normal communication channel | Entire project and chat history |

If the offered rights are bundled too widely, keep the space private and use controlled document storage. A prompt cannot turn a broad technical permission into a narrow one.

**Recovery practice:** a chat says it cannot read R1. Open the master yourself and confirm the relevant row. Supply that approved excerpt, ask again and compare the answer. Do not grant a whole-drive connection to solve one missing row.

**Result check:** reopen the current saved reference outside AI. Verify its source/version, owner and Wednesday-noon deadline. Test a differently worded question in a new conversation using the same current material. Save the result and any unresolved source question.
